Call Handling Basics

Putting a Call on Hold

Microsoft Teams enables users to temporarily put calls on hold while they are in progress. The other party will hear hold music or a waiting tone while the call is on hold until it is restarted.

Choose the Hold button from the active call controls to put a call on hold. Click the Resume button to continue the call.

When looking for information, getting in touch with another employee, or getting ready to transfer a call, it can be helpful to put calls on hold.

Transferring Calls

Both blind transfers and consultative (attended) transfers are supported by Microsoft Teams.

Without first speaking to the recipient, a blind transfer instantly moves the caller to someone else. Before performing the transfer, the current user might have a conversation with the recipient through a consultative transfer.

To move a call:

  1. Click the Transfer button while the call is underway.
  2. Enter the recipient's name or phone number.
  3. Choose between completing a consult transfer or a blind transfer.

Because consult transfers allow contact with the recipient prior to connecting the caller, they are frequently advised for transferring sensitive or critical calls.

Forwarding Calls

Call forwarding allows users to automatically redirect incoming calls to another phone number, voicemail, or another Teams user.

To manage call forwarding:

  1. Select the profile picture in Teams.
  2. Select Settings.
  3. Select Calls.
  4. Configure forwarding preferences under the call answering rules section.

Users working remotely may choose to forward calls to a mobile device or alternate number when unavailable.
