Overview
Eastern Mennonite University uses Google Calendar as the official scheduling platform for all meetings, including Microsoft Teams meetings. Creating meetings through Google Calendar ensures calendars remain synchronized, classroom scheduling is accurate, and meeting invitations are sent correctly.
Do not create meetings directly from the Microsoft Teams desktop application or the Teams calendar.
Before scheduling a Microsoft Teams meeting, verify that:
- You are signed in to your EMU Google account.
- The Microsoft Teams Meeting Google Calendar add-in is installed and available.
- You are signed in to Microsoft Teams using your EMU account.
Scheduling a Microsoft Teams Meeting
- Open Google Calendar.
- Click Create or select the desired date and time on your calendar.
- Enter the meeting title.
- Add the attendees, date, time, and any additional meeting details.
- Locate the Video conferencing section of the event. Click the drop-down menu and, under the Add-ons section, select Microsoft Teams Meeting.
- The Microsoft Teams Meeting add-in will automatically generate a Teams meeting link and attach it to the calendar event.
- Review the meeting details to ensure everything is correct.
- Click Save, then select Send to email the invitation to all attendees.
Important Information
- Always schedule Microsoft Teams meetings using Google Calendar.
- Do not create meetings directly in the Microsoft Teams client.
- The Teams meeting link is automatically generated by the Microsoft Teams Meeting add-in.
- Any updates made to the meeting in Google Calendar will also update the Teams meeting invitation for attendees.
Troubleshooting
The Microsoft Teams Meeting option is missing.
- Verify that the Microsoft Teams Meeting add-in is installed.
- Refresh Google Calendar and try again.
- Sign out and back into your Google and Microsoft accounts if necessary.
The Teams link was not added.
- Remove the video conferencing option and select Microsoft Teams Meeting again.
- Confirm you are signed in to Microsoft Teams with your EMU account.
